How do you export Gmail data for an AI data license?
Email is where a company writes down what it actually did: quotes sent, complaints answered, deadlines argued about. A Gmail export is usually easy to start and hard to finish well, because a mailbox mixes work with private life and customers with colleagues. This page covers the routes, what each returns, and the decisions to make first.
What a Google Workspace email system usually holds
| Shared mailboxes | Addresses like sales or support that several people read. The cleanest email to work with, because it was always meant to be shared. |
| Individual work mailboxes | Each person’s inbox and sent mail. Rich, and mixed with personal messages, so each needs a rule for what counts as work. |
| Labels and folders | How people sorted their own mail. Useful as a signal of what a message was about, when the labels were used consistently. |
| Attachments | Quotes, contracts and photos that came with messages. Often the most valuable and the most sensitive part. |
| Calendar invites in the mail | Meeting requests and replies that show how work was scheduled, with names and sometimes locations. |
How Gmail data leaves, route by route
| Tool | What an export gives you | What is missing or needs an admin |
|---|---|---|
| Google Takeout for one account | A person’s own mailbox as a mailbox file, with labels, which a person can run for themselves. | Other people’s mail. It is one account at a time, and it needs each owner’s agreement. |
| The Workspace data export tool | An administrator’s export of a domain’s data, including mail, where the edition and settings allow it. | It needs an administrator, can take time to prepare, and only covers what the plan and retention settings kept. |
| Vault or a mail programming interface | Searches across accounts by date, person or term, and exports of the matches, on editions that include Vault. | Vault is for legal holds and investigations, so using it for anything else may be restricted by policy. A developer is needed for the interface route. |
Tool names belong to their owners and are used only to say where records usually live. Export features change by plan and version, so check the current rules for your account.
Start with shared mailboxes, not personal inboxes
A shared support or sales address is the easiest place to begin. Everyone who wrote there knew others would read it, the volume is large, and the thread usually ends with an outcome. Personal inboxes need per-person rules, agreement and a way to separate work from private mail.
The time range and the thread are the unit
A good set keeps threads whole, in order, with dates, and keeps the sent half as well as the received half. A reviewer learns little from a stack of replies with the original question missing. Pick a range of years where the company used email the same way and the systems around it did not change.
Attachments need their own decision
A quote or a signed agreement attached to a message can hold names, prices and signatures. Decide whether attachments travel at all, and if they do, run them through the same de-identification and review as the messages, including hidden file details such as author names.
What stays out of a Gmail set
| Private and personal mail | Anything that is not company work, including family, health and banking messages that landed in a work inbox. |
| Mail under privilege or confidentiality terms | Messages with lawyers, and mail covered by a client’s confidentiality agreement, stay out. |
| Mail from people who did not agree | A mailbox of someone who objects, or who has left and whose terms say otherwise, is left out. |
| Newsletters and automated notices | Bulk mail and system notices add size and no judgment, and are filtered before review. |
An example, invented for illustration
Picture a 60 person design agency that has used one Google Workspace domain for eight years. The owner chooses the shared client-services mailbox and the project leads’ work labels, and leaves personal inboxes and the finance mailbox out. An administrator runs the domain export for the chosen accounts, threads are kept whole, and client names and contact details are replaced before a sample is shown. Counsel checks the client agreements that allow de-identified use, and the owner approves the sample.
Questions owners ask about this
Can an administrator export everyone’s mail without asking?
Technically it may be possible, but your policies, your terms with staff and local rules decide whether it is allowed for this purpose. Tell staff what is being done, and let counsel confirm it.
Does Google’s own export include deleted mail?
Not usually. What was deleted and purged is gone from the standard routes, and what survives depends on retention settings and any holds.
We used a different email system before Google. Does that history count?
It can, but it is a separate export from a separate system, in a different file format, so treat it as its own set with its own dates.
Is it enough to remove names from the To and From lines?
No. Names and details also sit in the body, the signature and the attachments, so the cleaning has to cover all of them, and people review the result.
