Can a company license its working Word, Excel and PowerPoint files to AI?
The files people build every day, the model, the report, the proposal deck, record how work is actually done: the assumptions, the structure and the revisions. In the original format they show far more than a PDF does. They also carry hidden details, client names and other people’s work, so the question is which files are yours to license and how they are cleaned.
What counts as a working file

Why the original file matters
A native file keeps the formulas, the formatting, the comments and the structure. A PDF keeps a picture of the result. For learning how a spreadsheet was built or how a document was organized, the original is worth much more, which is why people ask for the files as they were saved.
Hidden details travel with the file
Office files carry the author’s name, the company, tracked changes, comments, earlier text that was deleted but not removed, and a path to where the file was saved. Cleaning has to reach these as well as the visible text, and a file with unresolved tracked changes needs a decision on which version to keep.
Templates and borrowed work do not count
A form letter, a blank template and a document written with a client’s material are not original work product. The set is built from files someone made to solve a real problem, and a sample is checked for sections copied from other sources.

The owner removes anything produced under a client’s confidentiality terms, the cleaning step strips author names, file paths and tracked changes, and a reviewer checks that no client names remain in the cell comments. The remaining files are grouped by project type, and a sample is approved by the owner before anything goes further.

Why not send PDFs?
A PDF keeps the finished look and drops the formulas, the structure and the comments. Those are what show how the work was built, so the original is more useful and also needs more cleaning.
How do we know a file is original work?
Look for files someone built to solve a problem for the company, with a named owner. Templates, copies of public documents and client-supplied material are set aside.
What about macros and links to other files?
Macros and external links can reach into other systems. They are removed or reviewed so the file is self-contained.
Can files from different departments be licensed together?
Yes, and variety often helps. Each department’s files get their own privacy and ownership review before they are grouped.
