Can you license accounting and ERP records to AI companies?

An accounting system records money after the decision was made. What gives it value to an AI company is the part around the number: the memo that explains an odd charge, the approval that took three people, the reconciliation that took a week to trace. A company with years of that on one system has a record of how a business actually reconciles its books.

What an accounting or ERP archive contains

Invoices and credit memosRaised, disputed, adjusted and credited, with the notes that explain each change.
Approval trailsWho signed off on a purchase or a payment, in what order.
Reconciliation notesWhy the bank and the books disagreed and what closed the gap.
Purchase orders and receiptsThe path from a request to goods received to a bill paid.
Memo and comment fieldsFree text on transactions, where a person wrote the reason.

Where the records live and what an export gives you

ToolWhat an export gives youWhat is missing or needs an admin
QuickBooksReports, lists and transactions can be exported as spreadsheet files by a user with the right access.Attachments and the audit trail often need separate steps, and report exports show what the report shows, not the raw tables.
XeroReports and many lists export as spreadsheet or document files.Notes on transactions and attached files are not always carried in a report, so they are pulled separately.
NetSuiteSaved searches and record lists export as files, and an administrator can build broader extracts.A full extract is usually an IT project, and custom fields and scripts shape what the file looks like.
SAPData sits in tables and documents that a technical team or consultant extracts. There is no simple export for an owner. The extraction is a scoped job, and approval workflows are spread across modules.
OdooLists of invoices, bills and journal entries can be exported as spreadsheet files by users with access.Chatter messages and attached documents sit beside the records and are pulled separately.

Tool names belong to their owners and are used only to say where records usually live. Export features change by plan and version, so check the current rules for your account.

The trail, not the total

Totals teach little, because a balance is just a balance. What an AI company cannot find elsewhere is how a finance team decides, such as what gets approved and what gets queried. A system with real memos and a visible approval chain beats a clean one with empty comment fields.

Money data is the most sensitive

Bank details, tax numbers, payroll and the names of customers and suppliers all appear in financial records. They are removed or replaced before any set leaves your control, and some modules, payroll above all, are simply never included.

What stays out

Bank and tax identifiersAccount numbers, tax numbers and card details are removed.
PayrollPay, benefits and personal records of staff are excluded entirely.
Books kept for clientsA bookkeeping firm's client ledgers belong to the clients, not to the firm.

An example, invented for illustration

A distributor has nine years of invoices, credit memos and purchase approvals in an accounting package. The sample is the credit memos and the approvals, with customer and supplier names replaced by stand-ins. Payroll and bank reconciliation files stay out, and no bank detail appears in the sample.

Questions owners ask about this

Our comments field is mostly blank. Is it still worth anything?

Less. Structure without explanation is thin. Linked email threads or approval comments elsewhere can make up part of the gap.

Can an accountant's files be included?

Only if they are yours. Files an outside accounting firm holds for you may be theirs, or under their terms, and are checked before anything is used.

Do we need IT to export?

For small tools, often not. For a full ERP, yes, and the work is scoped before a quote so the cost is clear and the owner decides.
