Can a property management company license its data?

Hello, everyone. If you run a property management company, every repair request, every tenant message and every lease renewal is saved somewhere, and together they show how the work really gets done.

In this video, I will show you what AI companies may want from that, what 3 studies say about it, and what has to stay private.

  1. Hello, everyone. If you run a property management company, every repair request, every tenant message and every lease renewal is saved somewhere, and together they show how the work really gets done.

In this video, I will show you what AI companies may want from that, what 3 studies say about it, and what has to stay private.

  2. 3 requests land in your inbox at once: no heat in unit 4B on a freezing night, a dripping kitchen tap, and a hallway bulb that is out.

Your team knows which one goes first, and it knows without looking anything up.

That judgment, repeated thousands of times across every property, is what an AI company would love to learn from, and it is already sitting in your system.

  3. I'm Jimmy. I have worked in data at Fortune 500 companies, as a data analyst, a data engineer and a software engineer, and I am trained in data science. I am also a Canadian military veteran, where I specialized in data analysis and reporting.

Are you selling your data? We are your broker and technical advisor. We get you the best price, and we guide your team through the technical side, so your data stays private.

Are you buying data for an AI lab? We find the right data for you and see it through to delivery, so you can focus on advancing AI research.

  4. Let us look at what is actually saved, because 4 things stand out.

Work orders show what broke, who fixed it and what it cost.

Tenant messages show the questions and complaints, and how your team answered them.

Lease renewals show who stayed, who left, and sometimes why, and inspections show the state of a unit, with photos, at move-in and move-out.

  5. Start with repairs. Deciding which request comes first looks like pure judgment, but researchers have shown it can be learned from the data.

A 2023 study in the Journal of Architectural Engineering, by D'Orazio, Bernardini and Di Giuseppe, used about 12,000 maintenance requests from 23 university buildings over 34 months, and found that machine learning was good at flagging the most urgent requests.

A history of how your requests were ranked, and what happened next, is exactly that kind of training material.

  6. Next, tenant messages.

A 2025 study in the Quarterly Journal of Economics, by Brynjolfsson, Li and Raymond, followed about 5,000 customer support agents who got an AI assistant trained on their company's past conversations, and they resolved about 15% more issues per hour, with little change for the most experienced agents.

Your leasing and maintenance conversations are the same kind of material, where the best answers settle the issue fastest.

  7. Disputes are where lease and inspection paperwork earn their keep.

When a tenant questions a deposit deduction, the move-in photos, the move-out report and the messages in between settle it, and that sequence shows exactly how a fair outcome is reached.

For an AI company, that is a worked example of reasoning with evidence.

  8. Now, whose data is it?

Your own work orders, messages and procedures are usually yours.

But a property management company also holds things for property owners, so check what your management agreements say about their data.

Tenant details are personal and are removed first, and tenant screening reports, like credit and background checks, are not yours to license at all.

This is not legal advice, so ask your own lawyer.

  9. Tenant data is sensitive, and regulators are watching it.

In November 2022, the Consumer Financial Protection Bureau published reports on tenant background checks, which noted more than 24,000 renter complaints about tenant screening between January 2019 and September 2022.

Before any AI company sees a file, we strip out names, unit numbers, phone numbers and payment details, and screening reports are never shared.

  10. What does the process look like?

On your side, the main job is exporting what you have, and we guide your team through it.

Before any AI company sees a file, the personal details are removed.

Then you license the data, and you keep running your properties exactly as before, because it is a license, not a sale.

I work through the terms with you, and you make the final call.

  11. So, are your work orders worth more than you thought? Now you know what to look for.

If you run a company with 30 or more people, the data you already have could become a new revenue stream. You can find out if yours qualifies, for free, at AITrainingDataBroker.com.

If you have further questions, leave them in the comments, and I will answer them in the next video.

Thank you for watching, and I will see you next time.
